Terms of Service

The agreement

These terms are an agreement between AthleteVault and the league operator that purchases the service, and they govern everyone the operator invites onto the platform — league administrators, coaches, scorekeepers, and parents. By creating an account or using the platform you accept these terms. If you are accepting on behalf of a league or organization, you represent that you have authority to bind it.

The service

AthleteVault provides league management software for youth basketball: registration, rosters, scheduling, scorekeeping, standings, communications, AI-assisted coaching insights, and related tools. We may improve or modify features over time; we will not materially reduce the core service you paid for during a paid term.

Accounts and roles

  • Adults create accounts; children never do. Player participation is managed by guardians and league staff as described in our Privacy Policy.
  • You are responsible for the accuracy of information you enter and for keeping your sign-in credentials secure.
  • Access is role-scoped. Do not attempt to access data outside the scope your role grants.

Fees and renewal

  • A one-time $100 setup fee covers white-glove onboarding of your league.
  • The platform fee is $300 per year for each full block of 100 rostered players (partial blocks are free, one-block minimum). Your purchased blocks set a roster capacity; reaching it never affects existing players — adding new ones simply requires adding a block, available instantly from League Ops.
  • There is no auto-renewal. Each year's fee is charged only when you choose to renew, repriced to your current roster size.
  • Payments are processed by Stripe. AthleteVault does not process or collect family registration fees; those remain between families and the league.
  • If something goes wrong with a charge, contact us and we will make it right.

League operator responsibilities

Youth sports involve obligations that software can support but not assume for you. As a league operator, you are responsible for:

  • Having the right to enter the information you add to the platform, including player information collected on paper or through your own channels.
  • Your league's own policies — playing-time rules, codes of conduct, refund policies for family registration fees, and compliance with your local youth-sports requirements.
  • Coach screening decisions. AthleteVault facilitates a background-check workflow through third-party screening providers, but the decision to approve a coach — and verification of their screening result — rests with the league.
  • Communicating with your families. Announcements and emails you send through the platform are your speech, not ours.

Acceptable use

Don’t misuse the platform. That includes: attempting to access other leagues’ or other families’ data; scraping or bulk-extracting personal information; uploading unlawful content; interfering with the service’s operation; or using the demo environment to abuse metered features. We may suspend access that threatens the security or integrity of the platform or its users, and will tell you why.

Your data

Your league’s data belongs to your league. We host it, back it up, and process it only to provide the service, as described in the Privacy Policy. If your subscription lapses, we do not delete your records — access may be limited until you renew, but your league’s history stays intact. You may request an export of your league’s data at any time.

AI features

Bench Notes and similar features generate suggestions with AI. They are decision support for coaches — not a substitute for a coach’s judgment about safety, fairness, or player wellbeing. Suggestions can be imperfect; the coach on the bench is always the final call.

Disclaimers and liability

The service is provided “as is.” To the maximum extent permitted by law, we disclaim implied warranties, and our total liability for any claim arising out of the service is limited to the fees you paid us in the twelve months before the claim arose. Nothing in these terms limits liability that cannot lawfully be limited.

Termination

You may stop using the service at any time. We may terminate for material breach of these terms if the breach isn’t cured within 30 days of notice — except for security or child-safety issues, where we may act immediately. On termination, the data provisions above still apply.

Governing law

These terms are governed by the laws of the State of [STATE — to be confirmed with counsel], without regard to its conflict-of-law rules.

Changes and contact

If we materially change these terms, we will notify league administrators by email at least 14 days before the change takes effect. Continued use after that date is acceptance. Questions: hello@athletevault.net.
